On-Site Management

Image

On-site workforce management brings staffing support closer to your day-to-day operation.

TeamBuilt Talent works with you to define a service arrangement that may include onboarding coordination, employee communication, assignment check-ins, and help addressing staffing concerns at your worksite.

We begin by learning how your operation works—the shifts, supervisors, expectations, and communication needs. From there, we discuss where on-site involvement can provide practical support and clarify how our team will work alongside yours.

The goal is a more connected staffing relationship, with clear responsibilities and a familiar point of contact. The level of on-site coverage and services provided are established in the agreement, so everyone understands what support to expect.

Staffing Support Closer to Your Operation

When several people, shifts, and staffing needs are involved, communication matters. Your supervisors need to know who to contact, employees need clear direction, and staffing questions need a path to resolution.

TeamBuilt Talent works with you to establish an on-site support arrangement around the needs of your operation.

We want to understand where coordination is difficult, what your supervisors need from us, and how our involvement can support the staffing relationship.

Our role is to work alongside your team, with responsibilities defined before the service begins.

When On-Site Management May Fit Your Needs

On-site support may be worth discussing when your staffing arrangement calls for closer coordination than occasional phone calls or placement follow-ups.

Multiple Employees or Shifts

You need a clear communication process across a larger staffing arrangement. We discuss the people, schedules, and points of contact involved.

Frequent Starts and Staffing Changes

Your operation regularly welcomes new employees or adjusts assignments. We discuss support for start details, onboarding coordination, and communication.

More Coordination for Supervisors

Your supervisors want a familiar staffing contact for assignment questions and employee concerns. We clarify how issues should be reported and handled.

A More Involved Staffing Relationship

You want your staffing partner to become more familiar with the worksite and its day-to-day needs. We discuss a practical level of involvement and coverage.

Define the Support Your Worksite Needs

On-site management should not mean the same thing for every employer. We discuss the activities that would be useful at your worksite and document what is included.

Depending on the agreement, support may include:

  • Coordinating start dates, arrival details, and designated worksite contacts
  • Helping communicate assignment expectations and approved schedule information
  • Coordinating staffing-related onboarding steps with your team
  • Checking in with assigned employees and supervisors
  • Receiving attendance updates and helping coordinate follow-up
  • Assisting with agreed time reporting and approval procedures
  • Communicating changes in staffing needs to the recruiting team
  • Helping route employee questions and concerns to the appropriate parties

The service agreement identifies the activities included, the employees covered, and the limits of the on-site role

A Familiar Contact. A Clear Communication Path.

Your team should understand how to reach us and what information we need to help.

We work with you to establish contacts for staffing requests, assignment changes, attendance concerns, and employee questions. We also clarify which issues require escalation to another person or department.

Employees need that clarity too. We help explain where staffing-related questions should go and how to raise concerns within the agreed arrangement.

If something is not working, we want to hear about it early and discuss an appropriate next step.

Coordinate the Start. Stay Connected Afterward.

New assignments involve more than a start date. Employees need accurate arrival information, designated contacts, and a clear understanding of what happens next.

Within the agreed scope, we help coordinate those details with your team and communicate relevant assignment information to employees.

After the start, check-ins provide an opportunity to discuss whether expectations are understood and whether questions need attention.

Job instruction, worksite orientation, supervision, and safety responsibilities are addressed separately so everyone understands their role.

Clear Responsibilities at the Worksite

An on-site staffing representative does not automatically take over your operation or replace your supervisors.

Before service begins, we clarify who is responsible for:

  • Assigning work and directing daily tasks
  • Providing job instruction and supervision
  • Coordinating required orientation, training, and safety communication
  • Reporting incidents, hazards, and urgent concerns
  • Reviewing attendance and approving time
  • Addressing performance, conduct, and employment-related concerns
  • Receiving and routing accommodation requests or other employee concerns
  • Authorizing assignment changes and staffing adjustments

The agreement documents the service arrangement without replacing any party’s applicable legal responsibilities. On-site support should not be treated as a substitute for required supervision, safety programs, or emergency procedures.

Coverage That Is Defined, Not Assumed

We discuss the level of on-site presence appropriate for your staffing needs and the services we can provide.

Before the arrangement begins, we clarify:

  • The worksite and employees covered
  • Scheduled days, shifts, and hours
  • Activities included in the service
  • Communication outside on-site hours
  • Escalation contacts and procedures
  • Any workspace, access, or system requirements
  • How coverage changes will be requested and approved

Dedicated full-time presence, coverage on every shift, and around-the-clock availability are not assumed. Any such arrangements must be expressly agreed.

Keep the Arrangement Aligned With Your Needs

Your staffing needs may change as workloads, schedules, and projects develop.

We encourage regular conversations about upcoming requirements, assignment concerns, and how the on-site support is working. Reviews may include agreed staffing information and feedback from your supervisors and assigned employees.

If additional support is needed, we discuss what is available and any changes required to the service agreement.

Our goal is a practical relationship that stays connected to the needs of your operation.

Clear Service Terms From the Beginning

Before on-site support begins, we review the proposed arrangement and applicable written terms.

Topics include:

  • Scope of service and coverage schedule
  • Fees and billing arrangements
  • Client and TeamBuilt Talent responsibilities
  • Worksite access and information-sharing requirements
  • Communication, reporting, and escalation procedures
  • How changes, pauses, or termination of service will be handled

Specific services depend on the agreement. On-site management does not guarantee employee availability, attendance, retention, or operational results.
